Administrative Assistant

Location : Indramayu District


  • The Administrative Assistant will perform a range of administrative and logistical tasks in a district level , in order to support program staff, to ensure that all the program activities that have been scheduled in the work plans are delivered on time.

Responsibilities :

  • Provide support to district team with general administrative tasks and documentation, prepare letters, reports and presentations or material distribution, maintain appointment for district team (meeting organizer), including word processing, computer graphics, lay out, photocopying, contract office, etc).
  • Provide support to District team to organize arrange meetings, workshops and other events, and takes primary responsibility for logistical support under coordinate by District team Leader and Program Coordinator (including agenda preparation, materials, formatting power point presentations, as required)
  • Make travel & lodging arrangements in district for program staffs, consultants (both local and international) and stakeholders relates to program activity under coordinate with district team leader and program coordinator.
  • Assist District Team Leader to prepare activity budget, processing and reconciling of invoices and payment documentation in district.
  • Responsible to organize and arrange program staffs schedule activities, including vehicle arrangement, based on monthly calendar activity agreement with District Team Leader and program staffs in district.
  • Provide support to program staff in district to prepare Travel Authorization Request form, TER, trip report, monthly calendar activities, under coordinate program coordinator and district team leader supervision
  • Assist to program staffs in districts, province and national (including consultants) to arrange schedule appointments meetings with stakeholders, under district team leader supervision.
  • Responsible to take meetings note for overall activities conducted in district level and circulate to province staff and stakeholders under district team leader supervision.
  • Managing and distributing outgoing-incoming general documentation, correspondence and packages.
  • Maintain the program files both in the form of hard copies as well as electronic copies under supervised by District Team Leader
  • Provide support District Team Leader and program staffs in District and Province to ensure that all program procurements are carried out in accordance with donor rules and regulation, under Finance and Administration Officer supervision.
  • Liaise with vendors for district based procurements for the program as directed by District Team Leader and under Finance Administrative Officer supervision.
  • Maintain an inventory of project equipment and supplies
  • Operate a range of office machines such as photocopiers, computers, scanner and faxes etc.
  • Manage Jhpiego operational cars traffic and drivers log sheet

Knowledge, Skills, and Abilities:

  • Graduate from secretarial or business studies
  • Minimum 2 years’ experience working in administration area, ( as a support program for NGO would be preferable )
  • Knowledge of administrative and clerical procedures
  • Able to work methodically, accurately and neatly
  • Good oral and written communication skills ( English plus point )
  • Proficient in Microsoft Office Applications
  • Highly meticulous with excellent interpersonal, communication and organizational skills
  • Able to work in a fast-paced environment
  • Able to work as part of a team
  • Applicants must be willing to work in Indramayu (West Java).
